The Executive Assistant will support the CMO and other Marketing VPs with advanced administrative support. This person must be able to interact with staff at all levels in a fast-paced environment, remaining flexible, proactive and resourceful. This position interacts with employees, the executive team and the CEO’s office on a daily basis. This position requires a professional demeanor, sense of urgency, and the ability to keep sensitive material and conversations strictly confidential. Expert level written and verbal communication skills, strong decision-making ability and attention to detail are a must. This role reports to the CMO.

Responsibilities:

  • Extensive calendar managementand meeting coordination.

  • Complex travelarrangements including domestic/international travel and passport/visaprocessing.

  • Meeting and eventplanning.

  • Provide general administrativesupport including telephone coverage, typing routine correspondence, processingincoming and outgoing mail, filing, etc.

  • Maintain theconfidentiality of all information received or within the scope of theposition.

  • Serve as the main pointof contact for the marketing department and work cross-functionally with otherexecutive assistants in order to maintain efficiency and alignment.

  • Collaborate with financeteam to responsibly manage department budgets.

  • Expense management.

  • Collaborate with othermembers of the executive team to evaluate department operations and potentialenhancements.

  • Develop and maintain aproject and activity system to insure that all deadlines and obligations aremet as scheduled.

  • Ensure that themarketing department’s activities continue when management is out of the office.

  • Assist the CMO and VPsin onboarding details for direct reports.

  • Maintain and grow relationships with outsidevendors and contractors.

Qualifications

  • Associates DegreeRequired

  • 3-8 years administrativeexperience supporting C-level executives.

  • Technical: ExcellentMicrosoft Office skills and proficient in both Keynote and PowerPoint.

  • Communication/Language:Excellent written and verbal.

  • Strong calendarmanagement skills.

  • Excellent problem-solvingability.

  • Strong work ethic and ableto manage multiple tasks.

  • Ability to work effectivelyin a team environment.

  • Solid interpersonalskills and ability to interact with all levels of management, internally andexternally.

  • Detail oriented withgreat accuracy.
